Job Purpose

The Annual Giving and Database Manager plays a key role in advancing Siena Francis House’s mission by managing our annual fundraising campaigns and ensuring accurate, strategic use of our Constituent Relationship Management/donor database (CRM). The ideal candidate will effectively execute annual giving strategies, maintain high standards of data integrity, and provide essential support to donor cultivation and stewardship activities.

The Annual Giving and Database Manager will assist in designing, developing, and implementing our annual gift program. You’ll be responsible for providing a wide range of constituent engagement, data entry and strategic support related to our Development and Communications projects. Duties include facilitating direct mail solicitations (print and email) and maintaining the flow of information and communications with donors in the CRM database. In addition, the position is responsible and ensuring donor database accuracy through up-to-date record entry.

This position reports directly to the Chief Advancement Officer.

Essential job Duties

  • Lead and manage annual direct mail campaigns targeting gifts ranging from $10 to $1,000.
  • Support donors in achieving their philanthropic goals through personalized engagement and strategic communications.
  • Coordinate appeal campaigns both direct mail and digital, manage mailings, and track responses. Work with copy write vendors and other partners for timely execution of the annual direct mail campaigns.
  • Assist with donor stewardship activities, including acknowledgment calls, donor packets, and follow-up mailings.
  • Maintain accurate and current donor records in the CRM.
  • Conduct regular data entry and bulk imports; ensure data accuracy and consistency.

  • Generate targeted mailing lists for appeals, newsletters, event invitations, and general communications.
  • Produce regular reports to track donor trends, identify potential major donors, and measure fundraising effectiveness.
  • Coordinate responses to donor inquiries via phone and email.
  • Maintain organized filing systems (digital and physical) and ensure compliance with confidentiality and nonprofit standards.
  • Provide clerical support including managing inbound communications, scanning, filing, photocopying, and mailing.
  • Assist the Development team with various projects aligned with organizational development and communications goals.
  • Collaborate across departments to foster a positive and mission-driven work culture.
  • Ensure high accuracy in donor data and reporting.
  • Increase annual donor numbers and total fundraising amounts.
  • Manage multiple projects effectively within shifting priorities.
  • Collaborate proactively with colleagues, anticipating needs internally and externally.

Job Requirements

  • Proven project management ability and capacity to manage multiple deadlines.
  • Exceptional written and verbal communication skills.
  • Skilled in Microsoft Excel and the broader Microsoft Office Suite.
  • Strong organizational skills, attention to detail, and analytical abilities.
  • Commitment to Siena Francis House’s mission and values.
  • Willingness to undergo drug testing and a background investigation.
  • Participation in occasional special events may require occasional weekend or evening availability.

EDUCATION & EXPERIENCE REQUIREMENTS

  • Minimum three years’ experience in fundraising, database management, or related fields.
  • Bachelor's degree in marketing, communications, fundraising, business administration, or related fields.
  • Experience with data analysis and database management.
  • Equivalent combination of education and experience will be considered in lieu of a bachelor's degree.
  • Proficiency with donor databases (DonorPerfect strongly preferred).
