Job Description

Events and Development Associate reporting to Development Manager

Innovative non-profit is seeking an Event and Development Associate to ensure fundraising goals are met to maintain progress of the overall Team Gleason Mission. We are looking for an individual who is an outstanding communicator and enthusiastic about Team Gleason’s mission. The ideal candidate for this job is driven, resourceful, organized, and genuinely enjoys engaging with Team Gleason supporters, as well as fellow team members. Strong organizational skills, ability to manage multiple projects at once as well as planning ahead are keys to success in this position.

Event Planning and Execution

  • Plan, organize, and manage the execution and promotion of fundraising events (in person and virtual).
  • Manage event logistics and internal communications including staff responsibilities, guest lists, contracts, venue, music, menus, photography, seating charts, and other event production tasks.
  • Work with the Marketing Team to ensure proper promotion of events - social media, advertising, promotional material, etc.
  • Draft all event-related correspondence (e.g., sponsorship solicitations, thank you letters, blog updates, invitations, honoree requests, etc.).
  • In coordination with Marketing, oversee work produced by designers, printers, and videography.
  • Serve as the main point of contact for all third-party fundraisers and build relationships with them to maximize fundraising efforts while also ensuring accurate awareness and messaging around their event (e.g. sending collateral materials, language for promotion, proper swag, etc.), as well as maintaining these activities and contact information in the CRM.
  • Perform other event-related activities as assigned.

Event Administration

  • Support the Development team by establishing and actively managing an annual event budget and calendar.
  • Manage relationships specific to event planning and execution, including programmatic, awareness-raising, virtual events (e.g. Give NOLA Day and Giving Tuesday) and fundraising partners. Ensure effective cross-marketing, as applicable.
  • Actively maintain and grow a portfolio of event sponsors & supporters in the CRM.
  • Work with the Development and Marketing teams to evaluate and improve events to create the greatest impact.
  • Draft and issue regular event status reports for Chief Development Officer, as well as to be shared at ongoing board meetings and staff meetings.
  • Manage event registration and sponsorship lists.
  • Ensure timely updating of spreadsheets post-event to be imported into the CRM.
  • Collaborate with Development Manager to manage post-event responsibilities including data reconciliation with event software and CRM, post-event communications and acknowledgements.
  • Lead oversight and management of the offsite storage unit.

Development Support

  • Work with the Chief Financial Officer to ensure the proper flow of information for accounting related to events as well as timely event reconciliations.
  • Support Marketing and Development in the coordination of event related mailings, both physical and electronic.
  • Provide support to various committees and volunteers during fundraising campaigns and events.
  • Attend networking, programming, and development events as needed including evenings and weekends.
  • Provide support to the Development Manager in coordinating and maintaining office inventories such as merchandise, letterhead and stationery, promotional products, supplies, refreshments, and any assistance needed hosting donors in the office

Qualifications

  • Two years of event planning experience (that includes fundraising goals) required.
  • Strong organizational skills while managing a variety of functions and projects.
  • Communicate effectively with various audiences in both oral and written communication.
  • Ability to manage multiple projects and meet deadlines.
