Job Description

Title: Legal Administrative Assistant

Location: Raleigh, NC

Start date: Within the next 2 weeks

Onsite, hybrid, schedule: Hybrid. In office Wednesday - Friday.

Salary: $58,240-66,560

Must-haves:

Associate’s degree or equivalent experience with 2 years of administrative experience

Advanced working knowledge and proficiency in Microsoft Office (i.e., Word, Excel, Outlook, PowerPoint)

Experience and proficiency in use of technology to support practice group efforts (i.e., scanning, file sharing platforms, document comparison/proofing software like DocuSign or Workshare Compare or similar application to assist with proofing, tracking and comparing document revisions from multiple contributors.)

Excellent written and verbal communication skills. Strong attention to detail.

Ability to manage multiple projects simultaneously, leverage technology to gain maximum efficiency, and continually adapt to changing deadlines and priorities.

High degree of professionalism, discretion, and confidentiality.

Ability to work collaboratively with others, and ability to handle multiple tasks and prioritize effectively.

Self-motivated with a high degree of initiative.

Nice to haves:

Previous experience in a law firm preferred.

Experience using iManage DMS or similar Document Management System is a plus. Strong formatting skills preferred.

Who you will support & work with:

Supports 1 partner, 2 mid-level attorneys, 1 junior attorney.

Part of an administrative team of 4 (2 hybrid, 2 remote), and collaborates with 2 paralegals.

Responsibilities:

This is a well-established and highly regarded boutique corporate law firm, seeking an exceptional, self-motivated, and versatile Legal Administrative Assistant with 2 or more years of relevant experience to join our team. This exciting role requires attention to detail, ability to meet tight deadlines, strong organizational skills, and a high degree of professionalism when handling confidential information. Our practice is dynamic and you’ll gain a ton of experience, quickly. Here’s what you’ll do on any given day:

Receive reception visitors when necessary and contact appropriate attorney and/or staff.

Handle incoming correspondence appropriately to maintain excellent rapport with existing clients and highlight any service concerns to attorneys as necessary.

Maintain Outlook calendars; book travel, coordinate on-site meetings and luncheons.

Coordinate day-to-day operations of the attorneys’ practices taking initiative and using sound, independent judgment, including scheduling of meetings and conference calls.

Run conflict checks; open new matters, prepare engagement letters.

Enter, revise, and finalize time entries for select attorneys and work with the firm's Billing Department on billing matters.

Prepare, revise, and proof legal documents and presentations in Microsoft Word, Excel, and PDF.

Organize documents into accurate formats and maintain client files in accordance with firm standards.

Assist with preparing and coordination of initial transaction closing documents including electronic data rooms.

Complete post-closing activities.

Perform online research as necessary to support attorney activities.

Maintain firm contacts as needed to ensure accuracy of clients, investors, and vendors information.

Manage multiple projects in a deadline-driven environment.

Other duties as assigned.

Additional Responsibilities Include:

Assist other staff as needed to balance workload.

Assist in the development of office skills by sharing knowledge, best practices, and attending monthly team meetings.
