Real Estate Assistant
Location: Ottawa, Ontario
Type: Full-Time / Part-Time

This role is crucial in supporting the Principal Broker , the brokerage , and property management operations . Key Responsibilities:
Manage daily office operations and administrative tasks efficiently.
Perform data entry for property listings, client information, and transaction records with precision.
Organize and maintain both physical and electronic files for quick and easy access.
Answer phone calls and respond to inquiries with professionalism and courtesy.
Schedule appointments, coordinate meetings, and manage calendars for real estate agents and the Principal Broker.
Assist in preparing marketing materials and updating social media for property listings.
Support clients with information about properties and the services offered by the agency.
Collaborate with team members to ensure timely completion of property transactions.
Assist with property management tasks, including maintenance requests and dispatching.
Input and coordinate listings with clients and marketing materials.
Manage bill payments and collections.
Handle On-Call Duties for after-hours support for our sister companies.
Provide direct support to the Principal Broker , ensuring smooth day-to-day operations.
Qualifications:
Previous experience in a clerical, bookkeeping, or administrative role is preferred.
Familiarity with real estate processes is an asset but not required.
Proficiency in computer applications, including Microsoft Word, Excel, and CRM software.
Strong data entry skills with a keen eye for detail.
Excellent phone etiquette and communication skills, both written and verbal.
Ability to manage multiple tasks efficiently while maintaining a high level of organization.
Experience in a dental office or as a dental receptionist is beneficial but not mandatory.
College or University education is considered an asset but not required.
Valid driver’s license and access to a personal vehicle are required.
Driving to various property locations may be necessary—mileage compensated.
Working Hours & Flexibility:
Consistent weekly schedule with some out-of-schedule work as needed to support property viewings, events, or urgent matters.
Flexibility for occasional evening or weekend work is required.
